Terms of service

Terms and Conditions for Training Courses

The following Terms and Conditions apply to all training courses provided by SAS Seascope France, trading as Seascope.

By booking a course, the participant confirms that they have read, understood, and agreed to these Terms and Conditions.

1. Course Bookings

Bookings may be made:

Telephone bookings must be confirmed in writing upon request.

A booking is only confirmed once payment (deposit or full fee) has been received and acknowledged by Seascope.

Discounted package rates apply only where all included courses are booked within a three (3) month period.

 

2. Payment Terms

Payment is due at the time of booking unless otherwise agreed in writing.

This may consist of:

·       Full payment, or

·       A minimum 50% deposit

Where payment by invoice has been agreed in advance, payment is due immediately and must be received before the start date of the course unless otherwise agreed in writing.

Failure to pay any outstanding balance before the course start date may result in refusal of entry to the course.

Certification and Documentation

Certificates of completion, licences, or any related documentation — including registration with relevant authorities — will not be issued, released, or processed until full payment has been received and cleared.

This applies regardless of whether the participant has completed the course.

 

3. Deposits, Cancellations and Transfers

3.1 Deposits

A minimum 50% deposit is required to secure a place on a course.
The deposit secures the participant’s place and compensates Seascope for reserved training capacity.

3.2 Standard Cancellation Policy

All cancellations must be made in writing to:

Refunds are calculated as follows:

More than 30 days before course start date: Full refund minus 20% administration fee

Between 30 and 14 days before course start date: 50% refund

Less than 14 days before course start date: No refund

3.3 Medical Cancellation

If cancellation is due to medical reasons, the participant must provide an official medical certificate issued by a registered medical practitioner.

The certificate must:

·       Clearly state that the participant is medically unfit to attend the course

·       Be submitted prior to the course start date or within 48 hours of the course start date

Medical cancellation does not automatically entitle the participant to a refund.

Seascope reserves the right, at its sole discretion, to offer:

·       A course transfer, or

·       A credit valid for 12 months

Refunds for medical reasons remain entirely at the discretion of Seascope France.

3.4 Course Transfers / Postponements

Where a participant requests and is granted a transfer to an alternative course date:

The full outstanding balance must be paid immediately to confirm the new booking.

The transfer is subject to availability.

Once a course has been postponed or transferred, the booking becomes strictly non-refundable.

If the participant cancels again or requests a further postponement:

No refund, credit, or additional transfer will be granted.

Any approved credit must be used within twelve (12) months from the original approval date.

 

4. Non-Attendance

If a participant fails to attend a course without prior written notice, the full course fee remains payable.

Non-attendance due to medical reasons must be supported by a valid medical certificate as described in Clause 3.3.

Travel disruption, visa issues, missed transport, or personal circumstances do not entitle the participant to a refund.

 

5. Late Arrival and Missed Sessions

Participants must attend all scheduled sessions.

If a participant:

·       Arrives late, or

·       Misses any part of the course

Seascope reserves the right to refuse certification where attendance requirements of the relevant authority (MCA, RYA, GUEST or others) are not met.

In such cases:

·       The full course fee remains payable.

·       No refund will be issued.

·       Seascope is not responsible for travel delays or transportation issues.

 

6. Updated Proficiency (Refresher) Courses

Participants attending refresher or updated proficiency training must present valid proof of prerequisite certification before the course start date.

Failure to provide required documentation may result in refusal of entry without refund.

 

7. Unforeseen Circumstances and Force Majeure

Seascope reserves the right to cancel or reschedule a course due to unforeseen circumstances.

In such cases, participants will be offered:

·       A transfer to an alternative course date, or

·       A full refund of fees paid

Seascope shall not be liable for any additional costs incurred by participants, including but not limited to travel, accommodation, or loss of earnings.

Seascope shall not be held liable for failure to perform its obligations where such failure results from events beyond its reasonable control, including but not limited to:

·       Natural disasters

·       Government restrictions

·       Strikes

·       Pandemics

·       Transportation disruption

·       Fire or emergency situations

8. Data Protection and Fair Processing

All personal information provided to Seascope will be processed in accordance with applicable data protection legislation.

Participant data may be shared where necessary for:

·       Certification

·       Registration with awarding bodies

·       Course administration via third-party platforms

Participants have the right to request access to their personal data.

 

9. Certificate and Licence Collection

Where a participant is unable to collect their certificate or licence at the end of the course, it will be stored at the Seascope administrative office for a maximum of twelve (12) months.

After this period, Seascope accepts no responsibility for storage.

10. Complaints

Complaints must be submitted in writing to:
complaints@seascopefrance.com

All complaints will be handled confidentially and in accordance with Seascope’s internal complaints procedure (QP12).

 

11. English Language Requirement

All Seascope courses are delivered in English.

Participants must have sufficient proficiency in English to:

·       Understand instruction

·       Participate fully

·       Successfully complete assessments

No refund will be issued if a participant’s English language ability is insufficient.

 

12. Contingency Measures

Seascope maintains contingency procedures to ensure safety and continuity of training in abnormal circumstances.

12.1 Student Illness During Course

First aid provided where required

Medical services contacted if necessary

Alternative arrangements considered at Seascope’s discretion

12.2 Instructor Illness

A qualified substitute instructor will be assigned where possible

Course schedules may be adjusted if required

12.3 Fire or Emergency

All participants must follow established emergency procedures communicated at the start of the course.

Training will resume only when safe to do so.
